Job Functions:

  • The Referral Coordinator is responsible for scheduling new appointments for the departments. This includes obtaining thorough and accurate information from the client and referring veterinarian and giving thorough and accurate information to the client and to referring veterinarian.

  • Scheduling clients according to department guidelines.

  • The Referral Coordinator will act as a primary contact for their specialty service to clients and potential clients. They will be expected to direct questions they cannot answer, as established by their specialist, to the proper staff member, and follow up as needed to ensure the client’s questions have been addressed.

  • Takes primary veterinary calls when the doctor is not available for follow up questions only.

  • Attends rounds every morning to learn about any cases being transferred from emergency to specialty service.

  • Play the role of liaison between the specialist and the client.

  • Adapts to and recognizes that each specialty and specialist has their own method and style of communication.

  • Documenting conversations with specialists and clients in the medical record.

  • Interacting within different services to expedite scheduling of procedures, rechecks, and consults.

  • Maintains patient care database by entering new information as it becomes available; brings pertinent emails and faxes to the doctor with the corresponding file and relays the doctors interpretations on (most) blood work and any follow up instruction or change of direction from the doctor.

  • The referral coordinator will work closely with the specialists and technical staff within the specialties to ensure accurate flow of information to the client in a timely fashion.

  • The referral coordinator will coordinate the delivery of patient information within the services, to other CCCs, and doctors and work with the client care liaison to ensure excellent care for cases co-managed by the ER and specialty departments.

Qualifications:

  • Strong customer service background.

  • Understanding of how the hospital as a whole operates.

  • The ability to accept criticism and deal calmly and effectively with high stress situations.

  • Detailed, thorough, and possessing excellent follow- through skills.

  • Clear and professional communication abilities are required.

  • Prior reception or phone experience required; prior veterinary reception experience is a plus.

  • Ability to be sensitive to others’ needs and feelings and to be understanding and helpful on the job.

  • Detailed, thorough, and excellent follow-through skills.
